Office Administrator

Boeing is seeking an Office Assistant to support leadership at the Smithfield, PA site. The Office Assistant will be responsible for the following tasks:
Position Responsibilities:
  • Coordinates and processes domestic and international travel arrangements, monitors designated business traveler's logistics, and generates expense reports.
  • Creates, edits and maintains electronic and written communication. Prepares reports, presentations and flow charts.
  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.
  • Prioritizes and schedules management-level employee time and availability for efficient use of resources.
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.
  • Plans the acquisition and maintenance of resources.
  • Orders and maintains office supplies.
  • Plans and implements logistics for internal and external events and meetings.
  • Assists in the entry and maintenance of data stored in electronic databases.
  • Assists in other duties as assigned. Works under general supervision.

This position requires the ability to obtain a US Security Clearance, for which the US Government requires US Citizenship.

Basic Qualifications (Required Skills/Experience):

  • Advanced knowledge of Microsoft Office Products (Outlook, Word, Excel and Power Point required)
  • Experience in coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges
  • Experience in managing executive schedules and calendars using Microsoft Outlook and WebEx
  • Ability to create and facilitate presentations with management, customers, and other key stakeholders

Preferred Qualifications (Desired Skills/Experience):

  • Experience working with all levels of management, including executives
  • Experience with programs such as Microsoft SharePoint and WebEx
Typical Education/Experience:

High school diploma or GED and typically 1 or more years' related experience or an equivalent combination of education and experience.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
